Setting up Filters and Rules

Mailbird offers some awesome functionalities when it comes to filters or rules! In this article, we will show you how you can create filters or rules to help you keep your inbox organised and easy to manage.

 

But first, here's an important point: filters are not synced with the server, which means that filters activate themselves once an email actually lands in Mailbird whilst Mailbird is running. Nevertheless, once emails arrive in Mailbird, the filters become activated, and after you have sync'd your emails with the server to download them all, any filter actions you have configured should also take place in your webmail (e.g. Gmail) or in any other additional email clients you use alongside Mailbird.

 

Please note that when an email arrives, Mailbird will check what filters match any specific conditions which you have set up, and it then combines all the actions from all relevant filters and executes them. The only exception is if there is an action to either 'delete' or 'mark as spam', since these actions override other folder-related actions.

Below you will find an example walkthrough for how to create a filter. Let's start!

  • First, navigate to the Mailbird Menu (the 3 horizontal lines in the top left-hand corner of Mailbird)
  • Then, select Settings

  • Next, choose the account which you want to set the filter/rules for, and then click the Add button
    • You can also select 'Unified Accounts', which means that the filter will be applied to all email accounts in your Mailbird

  • Now, you will need to choose your condition

  • Next, simply type any relevant information into the box next to it. What you will need to type depends on what condition you have provided.
  • Afterwards, click the "Add condition" button if you wish to add another one

  • Next is the crucial part - you must choose an action for the filter condition (see example below):

  • If you choose to either 'move to folder' or 'copy to folder', simply pick the folder from the dropdown or add a new one if you need to create a new one.
    • You can then click 'Add action' if you need to include another action.
      • Please note that the 'Move to folder' or 'Copy to folder' is not yet supported in the unified accounts.

  • After you have set the conditions and the actions, you will see the result in number a third box, called Review (see below for an example)
    • Click the save button if you are happy with the configuration you have set upFilters_5.png
  • Please note that filters will be applied to incoming messages only when Mailbird is running. This means that if you receive an email, and Mailbird is not running, the filters will not be applied elsewhere (e.g. your Gmail inbox).
  • If you then click on "Save and Run" the filter action will be applied to already receive emails that are still located in your Inbox, and also all future incoming emails.
